About the assignment

We at Novare are a proud and approved supplier for one of the National Board of Treasury's framework agreements. We are now looking for an administrator for a government agency in Stockholm.

The agency is currently in need of an administrator in the form of a planning coordinator. Your tasks will include planning and execution of international conferences. Work with minute-taking, meeting bookings, and travel planning is also included.

For this position, we are looking for someone with a strong sense of service. You are meticulous, attentive, and find it easy to collaborate with others. Furthermore, we see that you have a good ability to structure and take responsibility for your own work.

Examples of general tasks

  • Work based on established routines
  • Be an operational support for the operations
  • Handle many contacts with employees and visitors
  • Administratively support before and during international meetings and conferences
  • Handle travel planning, group travel bookings, and contacts with the travel agency
  • Handle visa applications and invitation letters
  • Administer bookings for conferences abroad
  • Write minutes and other documents according to instructions.

Requirements for the position

  • High school education or equivalent
  • Very good knowledge of MS Office or equivalent
  • At least five (5) years of work experience as an administrator
  • At least three (3) years of work experience working in an international department or similar
  • Experience working with several project managers and project participants when booking conferences and travel in countries outside Europe
  • Worked as an administrator in projects or with conferences in an aid organization
  • Be able to communicate fluently in Swedish and English, both orally and in writing.

Desirable qualifications

  • At least 1 year of experience of similar work at a government agency (reference assignment).

Assignment period and scope

The assignment is part-time, 50%, distributed either am Mon-Fri alternatively full days Tue, Wed, and Thu am. If necessary, the assignment can temporarily imply full-time work by agreement. The assignment is estimated to start 2026-05-05 and run until 2027-04-30, with the possibility of extension. The location is at the agency in Stockholm with some possibility for remote work.
